The “Deliverable Reporting” deliverable reporting window provides the user with an overview of the items reported the items reported for the deliverable.
The Deliverables’ Reporting deliverables’ reporting section is accessed through Reporting → CRP → Output → Year → Deliverable. - CRP - Output
To view the planned deliverables for each output. Click on the "Report" (2) button of the desired output (1).
A new window
The output reporting page (1) will open with the list of planned deliverables (2) for the desired output arranged by year (3).
Select the desired year from the years' drop-down list and click on the "Reported Files" (2) button of the requested deliverable (1).
The user will be able to report the files related to a previous year until the reporting process of that specific year is closed. The period is specified according to the Center/CRP Reporting policies.
Click on the "Reported Files" button of the requested deliverable.
A new window will open.
To add a Anchor
The deliverable reporting section will open with the following information:
- Output Reporting (1): The output where the deliverable is added
- Deliverable (2): The name of the deliverable where the file will be uploaded.
- Report files (3): The new uploaded files will be listed under this section.
- Add New (4): To add/upload new files.
To add a new item, click on “Add New” (2) in the top left corner of the “Deliverable Reporting” section.
Another widow will open. You will have two options:
1- Select report file
Click on "Select report file" and upload the item from your device.
Once the requested file is uploaded another window will open. Provide the following information:
- File* (already provided, can be changed or viewed)
- Date*: The date is divided to 4 sections
- Creation/Submission Date: Specify the creation date of the publication.
- Date Accepted for Publication: Specify the acceptance date of the publication.
- Online Publication Date: Specify the date of the publication published online.
- In Print Publication Date: Specify the date of the publication printed.
Add the following:
- Title*
- Type*
- First Author*: Select the first author's name from the drop down list. If the author’s name does not appear in the drop down list, you can add a new user by clicking on the “+” next to “First Author”.
A new window will open. To add a new user, follow up the steps mentioned in Add New User
- Specify the corresponding author by clicking on the flag icon next to the "First Author" or the "Co-Authors". Only one Corresponding Author should be chosen by clicking on the flag icon next to his/her name.
- Co-Authors
- Reporting CRP* (or Non-CRP)
- Donors
- Partners
Specify under the "Copyright" section whether the publication is an open or limited access,
- Open access: please select the appropriate CC License type,
- Limited access: A pre-set embargo date for each type of publication will be in place.
- Journal Article: 178 days from the first uploading date.
- Report/Working Paper: 58 days from the first uploading date.
- Book, Book Chapter: 178 days from the first uploading date.
- Dataset: 178 days from the first uploading date.
- Video, Audio, Image: 58 days from the first uploading date.
Or you may modify the embargo date manually.
Once all the information is provided, click on "Save Changes". Or provide more details by clicking on "Save & Edit Details" button.
By clicking on "Save & Edit Details" button a new window will appear. Each product type has its own list of requested data. If the product type is a journal article, the detailed list of requested information will be as per the image below.
Once all the information is provided, click on "Save Changes" to report the item. Or you may link to harvest the Meta data for an existing file.
2- Link File
If you are reporting a file already exists in another repository, such as CGSPACE or MEL, you will be able to harvest the Meta data by adding the link.
A new window will open with already some filled data requesting the user to complete the missing information.
Once all the information is provided, click on "Save Changes" to report the item. The reported product will be visible in the deliverables section
The user can "Edit", "Edit details" or "Delete" the uploaded product.
By returning back to the deliverables’ page, the number of reported products for each deliverable will be shown.
Completed/Uncompleted Deliverables
Completed Deliverables:
If all the products are reported for the desired deliverable, the user can mark that deliverable as completed by clicking on “Mark as completed”.
A popup window will appear asking the user to add a brief description, add and click on submit once done.
Uncompleted Deliverables:
The user can also either cancel or reschedule a deliverable by clicking of “Mark as uncompleted”.
Once clicking on “Mark as uncompleted” a popup window will appear. The user has to specify the reason and its statues. Select the reschedule date if it is rescheduled. Once done click on “Save changes”
The deliverable will appear in the 2018 list of deliverables indicating that it is rescheduled.
By clicking on “Rescheduled”.
The user can check the rescheduling information
To upload an item, follow up the same steps explained in the project deliverable reporting section.
Once the deliverable reporting is completed, click on “Output reporting” (1) to return back to your output & deliverable reporting page (2).
The number displayed on “Reported file(s)” (a) will be changed visualizing the number of items you have uploaded under that specific deliverable.
Click on “Mark as Completed” (b) if you have completed the deliverable reporting or click on “Mark as uncompleted” (c) if you want to postpone or cancel a deliverable. Follow up the same steps explained in the Project Deliverables Completed/Uncompleted.
