Edit details contains the complete metadata requested for an uploaded item.
Each Reporting a file in MEL is done through two steps: “Manage Files” page and “Details” page.
The Details page contains the metadata, meaning a set of data that describes and gives information about other data, of the uploaded deliverable. Some metadata are mandatory to save and/or submit a deliverable in MEL and each reported type (e.g., journal article, video, dataset, report, etc.) has its own list of required metadata.
If the reported type is journal article as per our example, the required metadata to be filled will be as follows and it is divided to several parts:
Part one:
Contains the information added in “Edit” (1) section. The Sustainable Development Goals (SDGs) field is optional and is included in this part.
Once you your file is uploaded and saved for the first time, the system records it as a first version.
The system generates a new version for each time you access the “Edit”/“Edit details” Sections to update the metadata or add/delete files. By this way you can save multiple versions of your file such as first word then PDF.
To save multiple versions of your file such as first word then PDF:
- Upload your file as a word version, add the metadata then save the file.
- Open the saved file from “Edit”/”Edit details” section.
- Another window will open displaying the number of times the file was saved (version 5).
- Click on “Manage files” (1).
- Click on “x” (2) next to your file to delete it. Your file will not be deleted but it will be saved as an older version.
- Click on “Upload new files” (3) and upload the PDF version of your file (4).
- Click on “Continue” (5) to complete the process and “Save changes” to save the new version.
The saved file version is now 6 instead of 5. To go back to your word version, click on "V6". Go to version 5 where your word file was uploaded and click on "View Version" (1).
The system will open the requested version.
Note that once you save the version you opened the system will consider it as a last version.
Part Two:
The following information is required:
All fields marked with asterisk are mandatory.
- Keywords* (1): Add the keywords of the item uploaded.
- Crops (2): Add the researched or mentioned crops in the item uploaded.
- MELSpace* (3): It lists the research category used by ICARDA. Select from the drop-down list the most appropriate category to your uploaded item.
- Abstract* (4): Copy and paste the abstract of your uploaded item.
- URL* (5): Several options are made available under this field (DOI, ResearchGate, Google Scholar, CGSpace and Other URL).
You can add as much links as you want by clicking on “+” and selecting the URL type your want.
The URL is mandatory only when the online publication date is filled.
- Related Publications (6): You can add a reference to your uploaded item in two ways:
Add Reference (From MEL): By clicking on “Add Reference (From MEL)” a new field will open. Type one character at least or the full title and select from the drop-down list.
Note that You can see the item added as a reference only if you add a MELSpace approved items (the doi appears next to the publication). You can access it online by clicking on the blue box as indicated in the image with red arrow.

Citation*: Add the citation of the required publication.
ID Type*: Several ID types are made available such as (DOI, ISSN, ISBN, URL, etc.). Choose the most appropriate one from the drop-down list.
ID Number*: add the number of the ID type you have selected. For example, if you have selected the DOI as ID type then you have to add under this field the DOI number.
URL*: Copy and paste the URL for the publication you want to add as reference.
Part Three:
Most of the information required under this section is related to the journal and publisher information.It is also divided to 3 sections:
Section (1)
- Series title (1): Add the series title if the item uploaded is part of a series.
- Series number (1): Add the number of the series.
Section (2)
- Issue (2): Add the issue number if applicable.
- Volume* (2): Add the volume number. This field is mandatory only when in print publication date is filled.
- Pagination (2): Add the uploaded item’s page numbers.
Section (3)
- Journal title* (3): Add the journal title. You can scroll down the drop-down list and select the journal title from the available journal titles. Or you can add a new Journal title.
- ISSN (3): If you select an already stored journal title the system retrieves automatically the ISSN number related to that journal. Moreover, it is preferable to add its ISSN number if you have added a new journal title.
- Publisher* (3): If you select an already stored journal title the system adds automatically the publisher related to that journal. You have to add the publisher name if it is not stored in the system.
- Publisher Country*(3): The system adds automatically the publisher country for already stored journal titles. However, you can change the publisher country if you want, and add the country for the newly added publishers.
- Publisher City (3): Add the publisher city if you know it.
- ISI Journal? * (3): Specify whether the uploaded journal is an ISI journal or not. Add the impact factor if it is an ISI journal article.
- Language(s)*(3): Select the language of the publication. You can select more than one language if the publication contains more than one.

The information required in this part is:
- Copyright (1): Already filled in “Edit” section. But is possible to modify the data entered even from here.
- Citation (2): It will be generated automatically once all the data are filled and saved.
- Handle (3): It will be generated once the item is approved to MELSpace.
Once all the information is provided, click on "Save Changes" to report the item. The reported item will be visible in the Project Deliverable Reportings/Manage Reported files.
The “Details” page is organised in the following grouping, here called clusters:
- Date
- File
- Author
- Access
- Subject
- Stakeholders
- Location
Under each cluster, there are relevant metadata fields to be filled. Below is the preview of the deliverable type Journal Articles. The cluster’s name is reported on the top of each section.
