Engagement summary

The “Engagement summary” module is placed on the User’s profile page. The module will help the user and administrative/management roles to visualize all the deliverables for the current and upcoming periods (days, months). It is aimed to maintain the user schedule providing an overview for the deadlines and setting priorities.

The module consists of two main blocks. Scroll down for a detailed description of each element.

Engagement summary selection basing on the User’s role

The selection can be made using the relevant filter.

1- Subject to the user role, available calendars will appear in drop-down list

  • Personal: MEL user with active responsibilities for deliverables, CapDev and Project.

  • Project officer (PO): For the users who are appointed/selected as “Donor officer” in the Project edit form. The POs will see all the information on the Projects along with Deliverables, CapDev and Tasks funded by their organization.

  • Project Management Officer (PMO):  For the users having CRP responsibilities. They will be able to see all planning and deliverable items from all the persons related to particular CRP structure (research team members, output collaborating scientists and etc).

2 - Period selection

The user can select the engagement summary view switching between:

  • Month: This mode will display Deliverables, Tasks and CapDev activities available for the chosen month.

  • Year: This mode will display a summary of Deliverables, Tasks and CapDev activities per each month of the year.

Clicking on the arrow next to the selected month will open a list of the existing deliverables, tasks, activities related to the chosen month. The list will contain a clickable link and the status information (Reported, reporting is missed, reporting is not required and etc)

3 - Calendar view

The user can navigate through past and next months using the relevant arrows “Prev” and “Next”.

“Today” will bring the user back to the current month and date.

The same applies when for the “Year” mode as described in the previous section.

4 & 5 - Engagement types and timeline

There are 3 main types of engagements displayed on the calendar identified with different colors

The user can have a mix of activities during the day/month.

For each activity there is the reporting timeline that can be easily identified by the relevant color.

6 - Project/Activity drop-down list

This box allow to select the project/activity from the drop-down list. The list of the projects/activities differs depending on the chosen month. 

When the project is chosen in the drop-down list, the calendar and the items in the filter box will display the activities that are relevant for this particular project.

The user can choose multiple projects at the same time.

7 - Project/Activities/Products

This section displays by default all the Projects/Activity/Products that are active according to the date chosen in the calendar. The project may be ongoing however there might be no deliverables for the chosen month, so the calendar will appear empty.

Projects section will display the following information:

  • Projects managed (leader/co-leader) by the user;

  • Projects where the user is included into the research team; 

  • Project managed or where the user is included into the research team by any of the user's organization staff involved in a Program/Project (PMO role view) or for any project funded by a specific donor (Project officer view)

Clicking on the number of the projects will open a new window with the list of the relevant Projects.

Activities/Products will display the following information:

  • Activities/Products managed (leader/co-leader) by the user.

  • Activities/Products where the user is included into the research team. 

  • Activities/Products managed or where the user is included into the research team by any of the user's organization staff involved in a Program (PMO role view)

Clicking on the number of the Activities/Products will open a new window with the list of the relevant Activities/Products.

8 - Engagement list

Consists of three main types:

a) Deliverables:

Appear in the calendar on the delivery day. This type of engagement is highlighted in pink and contains the relevant reporting timeline.

If deliverable is rescheduled it will appear only on the rescheduled date.

The calendar will display the following set of deliverables:

  • Deliverables under a project/product managed (leader/co-leader) by the user;

  • Deliverables under an output managed (leader/co-leader) by the user;

  • Deliverables where the user is the leader;

  • Deliverables under Activities/Products managed or where the user is included into the research team by any of the user's organization staff involved in a Program (PMO role view);

  • Deliverables under projects funded by a specific donor (Project officer view).

Clicking on the number next to Deliverables will provide the user the overview based on the chosen calendar mode (month/year). The user will be able to see the core information on each deliverable with an opportunity to sort them by delivery date, responsible person, status and etc.

The user can type the name of responsible of responsible person to view all the deliverables assigned to this particular user. The search function can be applied to the variety of details (ID, type, title and etc).

 

b) Capacity development and Knowledge sharing activities (CapDev):

Appear in the calendar on the first and last week only if the duration of CapDev is more than 2 weeks. This type of engagement is highlighted in purple and contains the relevant reporting timeline.

The calendar will display the following set of CapDevs:

  • CapDevs under a project/product managed  (leader/co-leader) by the user;

  • CapDevs where the user is a supervisor, event participant, event sponsor or the one who submitted the CapDev report;

  • Capdev activities under projects funded by a specific donor (Project officer view);

  • CapDev activities under Activities/Products under their CRP(s) managed by a user from their organization.

Clicking on the number next to Deliverables will provide the user the overview based on the chosen calendar mode (month/year). The user will be able to see the core information on each deliverable with an opportunity to sort them by delivery date, responsible person, status and etc.

c) Tasks

Appear in the counter through all the task period. However in the calendar it will be visible only for  the first and the last day of the task period for a better visualization.

The days in the calendar containing a task will have a light blue line.  Tasks will not contain any timeline since they are not reportable.

The calendar will display the following set of tasks:

  • Tasks under a project/product managed (leader/co-leader) by the user;

  • Tasks under an output managed (leader/co-leader) by the user;

  • Tasks where the user is the leader;

  • Tasks under projects funded by a specific donor (Project officer view).

9 - Reporting timeline

Contains the relevant status for Deliverables and Capdevs. The items in the reporting timeline are clickable.

Click will disable the status from the calendar and the color will be faded.

Reported item is clicked (i.e. disabled)

The clicking is also applicable on the items legend (deliverables, capdevs and tasks), where clicking on the text/color will hide it from the calendar.
